Present in your own session, and nowhere else

You are scheduled into one session. You may not move to another session, or present in another session, without prior written approval from the Conference Chair.

A presentation given in any session other than your own will not be counted. It earns no certificate and the paper is reported to the committee as absent — even though you presented.

If anything goes wrong, e-mail us — do not improvise. If your joining link fails, you cannot be admitted, you are unwell, your slot clashes with something you cannot move, or anything else prevents you presenting at your published time, write to the conference secretariat before your session, quoting your Paper ID. A change will be arranged and confirmed to you in writing. Turning up in a different room is not a substitute for asking.

  1. Be in the room ten minutes early.
    • Join on your session's link, not the inaugural link. The links are listed against each session below.
    • Rename yourself to PaperID — Your Name so the chair can admit you quickly.
    • Test your microphone, camera and screen share before your slot, not during it.
    • If the link will not let you in, e-mail the secretariat straight away rather than joining a different session.
  2. Your slot is fixed.
    • The chair will stop the presentation at the limit so that every later paper keeps its published time.
    • Ten to twelve slides is the right length. Do not read the paper aloud.
  3. Prepare the file properly.
    • PowerPoint or PDF, 16:9, with the Paper ID and title on the opening slide.
    • Embed any video and any unusual font; do not rely on a live web page.
    • Keep a copy open locally in case the share fails.
  4. Present live, in English.
    • An author of the paper must present it. A pre-recorded file is not a presentation.
    • If the listed presenter changes, tell the chair at the start of the session — the chair records the substitution on the evaluation sheet.
  5. Attendance is what earns the certificate.
    • The chair marks every paper present, late or absent. An absent paper is reported to the committee.
    • Registration and the completed IEEE eCopyright form must both be in place before the paper goes forward to IEEE Xplore.
  6. Sessions may be recorded.
    • Recording is for the committee's records. Tell the chair at the start if you object.
